Privacy policy

LobbyIQ ("LobbyIQ," "we," "us") provides software for contract lobbyists and small government relations firms. This policy explains what information we collect when you use lobbyiq.com and the LobbyIQ application (together, the "Service"), how we use it, and the choices you have. It applies to visitors to our website, customers and their authorized users, and client contacts invited into the client portal.

1. Information we collect
Information you give us. When you request a demo, contact us, or create an account, we collect what you enter: your name, work email, firm name, the number of clients you represent, the states where you work, and any message you send. When you set up a workspace, we collect what you add to it: client records, contacts, projects, notes, documents, tasks, tracked bills, and calendar entries.
Information from a connected mailbox. If you connect an email account, LobbyIQ reads messages from that account to identify correspondence related to your clients and to log it in your workspace. Section 3 explains this in detail. We never connect a mailbox without your explicit authorization, and you can disconnect it at any time.
Information generated by the Service. As you work, the Service creates records on your behalf: drafts, summaries, logged communications, activity history, and reports. These are your content and are covered by Section 2.
Information collected automatically. We collect standard technical information when you use the Service: browser type, device, IP address, pages viewed, actions taken, and timestamps. We use a small number of cookies and similar technologies for sign-in, security, and understanding how the Service is used. We do not use advertising cookies or sell browsing data.
Information from legislative and public sources. The Service retrieves bill text, hearing schedules, agendas, recordings, and related material from legislatures and other public sources. This is public information, not personal information about you.
2. Customer content is yours
Everything you and your authorized users put into a workspace, and everything the Service creates from it, is "Customer Content." You own it. We use Customer Content only to provide the Service to you, to keep it secure, and to support you when you ask. We do not sell Customer Content, use it for advertising, or use it to train artificial intelligence models — ours or anyone else's.
3. Connected email
Connecting a mailbox is optional and is the most sensitive thing LobbyIQ does, so here is exactly what happens.
- Scope. LobbyIQ requests read access to the mailbox you choose, and send access only if you choose to send client updates through LobbyIQ. It does not access other mailboxes on the same account.
- What it does with messages. The Service identifies messages that appear related to your clients, using the contacts and clients in your workspace and the rules you set. Candidate messages are shown to you in a review queue. Nothing is filed to a client record until you approve it or a rule you created approves it.
- What it keeps. Messages you approve are stored in your workspace as communication records. Messages you reject or exclude are not retained beyond what is needed to honor the exclusion. Messages the Service never surfaced are not stored.
- Sending. When you send an update through LobbyIQ, it is sent from your connected mailbox, under your name, and appears in your sent folder. We do not send email on your behalf without an action from you.
- Revoking access. You can disconnect a mailbox from Settings at any time, or revoke LobbyIQ's access from your email provider. Disconnecting stops all access immediately; records already filed in your workspace remain unless you delete them.
- Account permissions. Connections to your email and other accounts are made through our integration provider (see Section 6) using the permissions you grant at sign-in. You can review and revoke those permissions at any time from the connected account's own settings or from Settings in LobbyIQ.
4. How the Service uses artificial intelligence
Some features of the Service — summaries of hearings and documents, draft client updates, draft bill language and testimony, and suggested matches between emails and clients — are produced with the help of large language models. To provide these features, the relevant Customer Content is sent to our AI processing providers (see Section 6) under contracts that prohibit them from retaining it beyond the request or using it to train their models. Every AI-produced draft is shown to you for review; the Service does not send AI output to a client without your action.
5. How we use information
We use the information described above to:
- provide, operate, and secure the Service;
- respond to demo requests and messages you send us;
- send service communications, such as notices about your account, security, or changes to the Service;
- understand how the Service is used so we can improve it, using aggregated or de-identified information where possible;
- comply with law and enforce our terms.
We send marketing email only to people who have asked to receive it, and every message includes a way to opt out.
6. How we share information
We do not sell personal information. We share it only as follows:
- Service providers. Companies that help us run the Service, under contracts that limit their use of information to providing their service to us. Our current providers are: Amazon Web Services (cloud hosting and database), Anthropic (processing for summaries, drafts, and matching), Composio (integration connectivity between LobbyIQ and the email and software accounts you choose to connect), and an email delivery provider for notifications and messages you send through the Service. We will update this list when it changes.
- Inside your workspace. Information you share with an associate or a client through the Service is visible to them according to the access you set. Client contacts you invite to the portal see only what you have chosen to share with them.
- Legal reasons. When required by law, subpoena, or court order, or when necessary to protect the rights, safety, or property of LobbyIQ, our customers, or others. Where the law allows, we will notify you before disclosing your Customer Content.
- Business transfers. If LobbyIQ is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this policy.
7. Client portal users
If a lobbyist using LobbyIQ invites you into a client portal, LobbyIQ collects your name and email to create your access and shows you the projects and updates that lobbyist has shared. The lobbyist controls what you see. Questions about that content should go to them; questions about how LobbyIQ handles your information can come to us.
8. Retention and deletion
We keep Customer Content for as long as your account is active. When an account is closed, you have 30 days to export your data, after which we delete it from our active systems; backup copies are overwritten on a rolling basis within 90 days. Demo and contact form submissions are kept for as long as needed to respond and follow up. Technical logs are kept for a limited period for security and troubleshooting.
You can delete individual records inside the Service at any time.
9. Security
We protect information with measures appropriate to its sensitivity, including encryption in transit and at rest, access controls limited to staff who need access to support you, and logging of administrative access. No system is perfectly secure; if we learn of a breach affecting your information, we will notify you as required by law.
10. Your choices and rights
You can access, correct, export, and delete your account information and Customer Content inside the Service. Depending on where you live, you may have additional rights under state privacy law, including the right to know what personal information we hold, to request its deletion, and to not be discriminated against for exercising those rights. To make a request, email hello@lobbyiq.com. We will verify your identity before acting on it and respond within the time the applicable law requires.
LobbyIQ does not sell or share personal information for cross-context behavioral advertising.
11. Children
The Service is for business use by adults. We do not knowingly collect information from anyone under 18.
12. Where information is processed
LobbyIQ is based in the United States and processes information there. If you use the Service from outside the United States, you understand your information will be transferred to and processed in the United States.
13. Changes to this policy
When we change this policy, we will update the date at the top and, for material changes, notify account holders by email or in the Service before the change takes effect.
